Property Management From an Owner's Perspective
Preferred Homes was built around the same standards we use to manage company-affiliated rental properties: protect the asset, document the details, respond quickly and treat residents professionally. Today, we apply that owner-minded approach to properties managed for landlords throughout our local service area.
Good property management is not simply collecting rent. It begins with preparing and pricing the property correctly, choosing the right resident, using thorough documentation and responding consistently when something needs attention. Our systems are designed to keep owners informed, residents accountable and well cared for, and prevent manageable problems from becoming expensive ones.
We balance strong landlord protections with respectful tenant relationships. That balance helps create stable tenancies, better communication and a more professional rental experience for everyone involved.

Leasing & Marketing
Marketing and Leasing
Leasing begins before the first advertisement appears. We start by evaluating condition, cleanliness, presentation, location, comparable rentals and current market conditions. When improvements are needed, we explain what will help the home compete and what may create unnecessary expense.
Pricing for the Market, Not for Wishful Thinking
We meet owners at the property for a complimentary walkthrough and rental evaluation. Our recommended price considers the home's condition, updates, features, location and relevant competing rentals. A well-presented home priced within fair market value is generally better positioned to attract serious applicants and reduce avoidable vacancy. No responsible property manager can guarantee an exact leasing date or rental amount before testing the market.
Broad Exposure and Better Presentation
Approved rentals may be marketed through Stellar MLS, Preferred-Homes.com, Zillow, Trulia, HotPads, Apartments.com, Realtor.com, Facebook Marketplace and other appropriate rental channels. Listings include an attention-focused description, accurate property information and a Zillow premium advertisement currently valued at $39.99.
Each property receives a distinctive yard sign with a QR code linking to Preferred Homes' available rentals page. Syndication and platform rules can change; we cannot guarantee that every third-party site will display every listing at all times.
Professional Photography
Owners may choose professional rental photography for a one-time $150 cost. The owner receives the rights to use the images, and Preferred Homes may reuse them when marketing the property. Strong photographs help a listing compete, create a lasting condition reference and may remain useful for future leasing or a later sale.
Accompanied Showings Only
We coordinate and conduct showings until a tenant is secured. Prospective tenants are accompanied by a licensed real-estate professional; we do not offer self-guided tours and do not release lockbox codes to applicants. We make every reasonable effort to accommodate evening and weekend schedules and respond promptly while an inquiry is active.
How long does it take to rent a home?
Many properly prepared and competitively priced homes lease in approximately two to three weeks, but that is an experience-based average — not a guarantee. Timing can be shorter or longer depending on price, condition, location, photographs, cleanliness, season, competition and overall market demand.
Tenant Screening
Application and Tenant Screening
Finding a tenant quickly matters, but approving the wrong tenant can be far more expensive than a short vacancy. Preferred Homes uses an in-house application and approval process supported by third-party reports and verification tools. Every adult who will live in the property must apply, be evaluated and sign the lease.
What We Review
We evaluate the complete application rather than relying on one number alone. Our review may include:
- Credit history
- Combined net income
- Employment and income documentation
- Identity and Social Security number fraud indicators
- Criminal-background information
- Eviction history
- Rental history
- Check-fraud indicators
- The complete application record
Information is evaluated under consistently applied screening guidelines and applicable fair-housing and consumer-reporting requirements.
General Qualification Guidelines
General guidelines include a credit score of approximately 620 or higher and combined net income of approximately three times the monthly rent, along with satisfactory results across the complete screening review. These are not the only criteria, and meeting them does not guarantee approval.
Application Fees
The application fee is $60 for the first adult and $40 for each additional adult. Anyone age 18 or older who will live in the home must complete an application and become a signer to the lease. Application fees are paid directly to Preferred Homes and are not a guarantee of approval.
Standard Move-In Funds
For an approved move-in, Preferred Homes collects at least the first month's rent — or the applicable prorated first month — last month's rent and one refundable security deposit equal to one month's rent. The exact amount due is confirmed before lease execution and move-in.
Conditional Approval
An applicant who does not qualify for standard approval may, when permitted by our written guidelines, receive conditional approval requiring one, two or three additional refundable security deposits. Depending on the approval, a tenancy may therefore have one to four refundable security deposits on file. We prefer additional refundable security deposits rather than collecting advance rent beyond the last month's rent.
We do not use non-occupant cosigners or guarantors. Exact internal scoring and approval methods are proprietary, but property owners may discuss our general process directly with the Preferred Homes property-management team.
This structure allows us to consider the complete application while maintaining consistent standards and meaningful financial protection for the property owner. Approval decisions remain subject to the entire application, property requirements and applicable law.
Lease & Compliance
Lease Protection and Compliance
Strong property management begins with a clear lease, thorough supporting documents and consistent follow-through. Our residential lease package begins with an established Florida lease form and includes applicable disclosures, acknowledgments, property rules and supporting documentation selected for the property and tenancy. Depending on the property and required addenda, the complete package often exceeds 60 pages.
The goal is not length for its own sake. The goal is to define responsibilities, document condition, establish procedures and reduce avoidable uncertainty before a problem occurs. Our lease process has been refined through years of practical property-management experience with both company-affiliated rentals and properties managed for other owners.
Documentation From Move-In Forward
A deposit dispute or damage claim often turns on documentation. Preferred Homes uses date-stamped photographs, tenant acknowledgments of condition, professional photography when selected, maintenance records, invoices, receipts, annual condition walkthroughs and move-out comparisons. We also use internal procedures developed through experience, while keeping proprietary methods confidential.
Why condition records matter
Consider four damaged window blinds found after move-out. A receipt establishes the repair cost, but it does not by itself establish when the damage occurred. A clear move-in record, tenant acknowledgment, maintenance history and move-out comparison create a much stronger factual record for determining responsibility and supporting any permitted claim.
No documentation system can guarantee the outcome of a dispute, but careful records can materially improve clarity and support consistent administration.
Consistent Notices and Compliance Procedures
Property management involves deadlines and details that are easy to overlook. Preferred Homes maintains procedures for deposit disclosures and administration, property-access notices, delinquency notices, curable and noncurable lease notices when applicable, renewal notices, electronic-notice documentation when used, and move-out deposit-claim procedures. The required method and timing depend on the lease, circumstances and applicable law.
We administer tenant security deposits and advance rent through the appropriate account and provide required information concerning where funds are held. When a claim against a deposit is appropriate after move-out, we document the basis and provide the required notice within the applicable time frame. Any owner recovery remains subject to the lease, available funds and governing requirements.
Lease Terms and Renewals
For ongoing management, Preferred Homes ordinarily uses one-year renewable lease terms. A two-year term may be considered in limited circumstances, but we generally recommend annual renewal because it creates a regular opportunity to review rent, inspect condition, address lease performance and update documentation. For tenant-placement-only service, the owner and tenant may agree to another permitted term.
For a two-year managed lease, the annual $300 charge is triggered in the month the lease originally commenced and supports the annual condition review and administration performed during that lease year.
Early-Termination Election
Our lease package includes the applicable early-termination election. When the tenant and landlord elect the two-month liquidated-damages option and the provision applies, the owner may be entitled to an amount equal to two months' rent following an applicable early termination. The availability and administration of that remedy depend on the signed lease documents, the circumstances and Florida law.
Friendly, Professional and Consistent
We work to maintain respectful relationships with residents, but friendliness does not mean informal enforcement. Rent, maintenance reporting, property care, notice requirements and other lease obligations are handled through established procedures rather than personal exceptions. That consistency protects the owner, gives the resident clear expectations and helps prevent small issues from becoming larger disputes.
The protection of your property is one of our most important responsibilities. We approach it through clear documents, complete records, timely communication and consistent procedures — not promises that no dispute will ever occur.
Rent Collection
Rent Collection and Delinquency
Consistent rent collection works best when every resident understands the same schedule and the same consequences. Under our managed lease agreements, rent is due on the first day of each month regardless of the original move-in date. The contractual grace period runs through the sixth, and the vast majority of our residents pay before that period ends.
Our Monthly Collection Timeline
1st
Rent Due
All monthly rent is due on the first.
Through the 6th
Contractual Grace Period
Residents may pay during the contractual grace period through the sixth.
After Midnight on the 6th
Late Charge Applies
If the balance remains unpaid after midnight on the sixth, the lease provides for a late charge equal to 20% of the monthly rent or $395, whichever is less. Our lease treats an unpaid late charge as rent due.
7th
Three-Day Notice
Preferred Homes serves the applicable three-day notice on the seventh. The day of delivery is not counted, and Saturdays, Sundays and court-observed legal holidays are excluded when calculating the notice deadline. If the seventh falls on a weekend or holiday, the notice may still be delivered that day, but the count begins with the next applicable countable day.
After the Notice Period
Prompt Next Steps
If the notice period expires without the required payment or return of possession, Preferred Homes coordinates the next appropriate step under the lease and applicable process.
What Usually Happens After Notice?
A three-day notice is a formal demand, not an immediate physical eviction. In our experience, the vast majority of residents who receive the notice resolve the delinquency within the applicable period. When that does not happen, we move promptly rather than allowing an unpaid balance to continue growing without action.
How the Florida Nonpayment Process Generally Works
If a nonpayment matter proceeds to filing, Preferred Homes coordinates the administrative process on the owner's behalf. The court filing fee is commonly around $200, service is commonly around $100 and a sheriff's writ fee is commonly around $90. These are estimates only and vary by county, number of occupants, service method and case circumstances.
After service of the court papers, a tenant generally has five business days to respond. In a contested nonpayment matter, applicable rent may need to be deposited into the court registry for the tenant to preserve defenses, subject to court procedures. If a hearing or legal representation becomes necessary, Preferred Homes coordinates with independent counsel. A local attorney's fee for a routine hearing and completion of the matter has commonly been around $500, but legal fees depend on the case and attorney.
Preferred Homes does not charge an additional coordination or administrative fee for handling a routine eviction as part of ongoing management. Owners remain responsible for third-party court, service, sheriff and attorney costs. When permitted by the lease and applicable requirements, eligible costs may be claimed against available tenant funds. Recovery is not guaranteed and depends on the facts, documentation, lease and funds available.
How Long Can an Eviction Take?
Based on Preferred Homes' experience with uncontested nonpayment cases, possession has frequently been recovered in approximately 30 days. That is not a guarantee. Contested filings, service issues, court schedules, hearings, legal defenses, holidays and sheriff availability can extend the process.
Owner Distributions and Monthly Reporting
Preferred Homes generally initiates owner distributions by ACH on the 15th of each month after collected funds have cleared. When the 15th falls on a weekend or holiday, the transfer may be initiated on the preceding business day. ACH deposits generally take about three business days to arrive.
On or shortly before the 15th, owners receive an email confirming the expected deposit date and an Excel profit-and-loss statement showing that month's income and expenses. Contractor invoices, material receipts and other supporting expense records are included when applicable. Owners may request additional records at any time.
Owners receive monthly income-and-expense reporting in Excel format. Property owners should consult their tax professional regarding annual reporting and filing requirements.
Maintenance
Maintenance Without Markups
Maintenance affects the condition of the property, the resident's experience and the owner's long-term cost. Preferred Homes receives maintenance requests directly, documents the issue, determines its urgency and coordinates the appropriate response. Our goal is to complete routine repairs the same day or by the next day whenever contractor availability, parts and the nature of the work allow.
We prioritize urgent conditions such as loss of air conditioning, active leaks, electrical concerns and other time-sensitive problems. Residents submit routine requests by email or by calling our office during business hours. For serious emergencies such as fire, flooding or another event requiring immediate attention, residents receive a direct number they may call or text at any time. The property manager evaluates the situation and coordinates the response case by case.
No Repair Markups or Surcharges
Preferred Homes does not add a markup or surcharge to maintenance and repair costs. There is no separate fee simply because a resident reports a maintenance issue. The owner pays the transparent cost of the labor, materials and outside services required to complete the repair.
You pay the repair cost — not a percentage added by us.
When a vendor submits an invoice, we may initially pay it on the owner's behalf and deduct the documented amount from available owner funds. The invoice appears with monthly reporting. When our maintenance personnel complete a smaller repair, the owner is charged for actual labor and materials, with available receipts or supporting records included. Labor rates vary by personnel and work involved, but Preferred Homes adds no management markup.
Our $300 Authorization Threshold
For a routine maintenance incident estimated at $300 or less, Preferred Homes may authorize and coordinate the work without interrupting the owner for advance approval. The expense and supporting documentation are reflected in the owner's monthly reporting.
For work expected to exceed $300, we contact the owner before proceeding. Examples include major plumbing work, a roof leak or total air-conditioning system failure. A true emergency requiring immediate action to protect people or prevent additional damage is an exception; we address the immediate need and communicate with the owner as promptly as circumstances allow.
A Documented Maintenance Workflow
Request Received
The resident contacts Preferred Homes, and we document the reported issue.
Priority Reviewed
We determine whether the matter is routine, urgent or a serious emergency.
Work Coordinated
Our personnel or an appropriate preferred vendor is scheduled.
Repair Documented
We retain applicable invoices, receipts and available details concerning the completed work.
Owner Reporting
The expense and supporting records are included with the owner's monthly reporting.
Preferred Vendors and Purchasing Savings
We work regularly with preferred vendors selected for a combination of reasonable pricing, reliability and practical expertise. Because we coordinate work in volume, vendor pricing may be more favorable than one-time retail service. Preferred Homes also maintains Home Depot Elite account status, which may provide material discounts below posted in-store pricing. Available discounts are passed through to the property owner.
We do not automatically seek multiple bids for every repair. We use preferred vendors because we know their work, responsiveness and pricing. If an owner recommends a qualified contractor offering better value and dependable service without compromising quality, compliance or our reputation, we will evaluate that vendor case by case.
Major Projects and Renovations
Preferred Homes has practical experience coordinating renovations, turnovers and larger property projects. Major renovations, insurance-restoration work, roof replacements, full system replacements and similar capital projects are outside standard ongoing property management. We may agree to oversee a qualifying project under a separate arrangement on a case-by-case basis.
When Preferred Homes accepts oversight of a major project, the project-management fee is 10% of the total project value, including labor and materials. The scope and authorization must be agreed upon before work begins. The owner remains responsible for dealing directly with the insurance company when an insurance claim is involved.
Our maintenance approach is straightforward: respond promptly, prevent avoidable escalation, use dependable resources, document the expense and keep the owner informed. No hidden repair percentage. No inflated invoice from Preferred Homes. Just practical coordination and transparent records.
Inspections & Renewals
Renewals, Inspections and Move-Outs
A successful tenancy requires attention throughout the lease — not only when a resident moves in or a problem occurs. Preferred Homes uses annual renewal procedures and property-condition walkthroughs to review performance, identify visible concerns and keep documentation current. When a resident leaves, we compare condition records, coordinate approved turnover work and administer available tenant funds carefully.
Renewal Planning Before Expiration
With sufficient time before a managed lease expires, we review the tenancy and discuss the recommended rent and renewal strategy with the property owner. The owner approves the proposed rent before the renewal offer is delivered. Preferred Homes sends the resident a formal renewal notice by certified mail.
Our standard renewal offer provides three paths, subject to the owner's approval and the lease:
Renew
Sign another fixed-term lease at the approved current or adjusted rental rate.
Continue Month to Month
Remain under the applicable lease terms at a monthly rate 20% above the prior rent.
Vacate
Return possession and keys by the lease-expiration date.
The month-to-month option is intended as short-term flexibility rather than a substitute for an annual renewal. Availability remains subject to the owner's decision, the lease and the circumstances.
Annual Property-Condition Walkthrough
When a resident is proceeding with an annual renewal, Preferred Homes personnel conduct a detailed property-condition walkthrough. This is a management inspection based on practical rental-property experience; it is not a licensed home inspection or a warranty that every concealed condition will be discovered.
Items reviewed when visible and accessible
- Smoke alarms and apparent safety concerns
- Air-conditioning operation and filter condition
- Plumbing fixtures, active leaks and visible moisture concerns
- Appliances included with the tenancy
- Interior walls, doors, flooring, windows, blinds and screens
- Exterior condition, lawn and general upkeep
- Evidence of unauthorized occupants or animals
- Other visible damage, deferred maintenance or lease-compliance concerns
The owner receives a written condition summary and updated photographs. If resident-responsible damage or another correctable lease concern is found, the resident must address it before Preferred Homes completes the new annual lease. This helps prevent visible damage from accumulating from one lease year to the next and reinforces clear care standards.
Renewal and Annual Administration Fee
The annual charge is $300 when a resident signs a new annual lease. It includes the renewal administration, property-condition walkthrough, updated photographs and preparation and execution of the new lease package.
Preferred Homes ordinarily recommends one-year renewable terms. A two-year managed lease may be considered in limited circumstances. For an approved two-year lease, the $300 annual condition-review and administration charge is triggered in the anniversary month in which the lease originally commenced, even though the original two-year term remains in effect.
When a Resident Moves Out
After the resident returns possession, Preferred Homes documents the property's condition and compares it with available move-in records, tenant acknowledgments, photographs, maintenance history and prior walkthrough documentation. We distinguish documented resident-responsible conditions from ordinary wear and other owner responsibilities.
When authorized, we coordinate maintenance personnel, cleaners and appropriate vendors to prepare the property for its next use. Locks may be changed when necessary. The owner receives supporting photographs, invoices and receipts as they become available.
Security-Deposit Administration
Tenant security deposits are handled according to the signed lease and applicable requirements. If Preferred Homes determines that a claim is appropriate, we prepare and send the required claim notice by certified mail within the applicable time frame. A proposed deduction must be supported by the available documentation and is not automatically final merely because a claim is made.
Eligible amounts may include documented resident-responsible damage, unpaid sums or other permitted charges under the lease and applicable requirements. Recovery depends on the facts, documentation, available funds and any dispute. Amounts ultimately recovered for the owner are transferred to the owner with supporting records.
Our objective is continuity: evaluate the tenancy before expiration, document the property, correct visible concerns, renew on clear terms when appropriate and handle move-out records and tenant funds carefully when the tenancy ends.
Pet Policies
Pet-Friendly Management With Practical Safeguards
Preferred Homes takes a practical, pet-friendly approach when the property and owner permit household pets. Many qualified renters have animals, so automatically excluding every pet can substantially reduce interest in a rental. We generally recommend considering pets while using clear limits, written requirements and financial safeguards.
The property owner makes the final decision concerning household pets, subject to applicable housing requirements. Property condition, the number and type of animals, available information, insurance considerations and the circumstances may affect that decision. Most approved properties generally allow no more than two household pets, although exceptions may be considered case by case.
Household-Pet Fee
For each approved household pet, the resident pays a one-time $500 nonrefundable pet fee. This is a fee — not a refundable pet deposit — and it is credited to the property owner. It does not purchase permission for the animal to damage the property and does not replace the resident's responsibility for animal-related damage.
If an approved household pet damages blinds, flooring, doors, screens, landscaping or another part of the property, documented repair costs may still be charged or claimed against available tenant funds when permitted by the lease and applicable requirements. Recovery depends on the facts, documentation and funds available and is not guaranteed.
Renters Insurance
Preferred Homes requires residents to maintain renters insurance throughout the tenancy with at least $100,000 in liability coverage. Preferred Homes is maintained as an additional interest so we can monitor policy status and receive applicable notices concerning cancellation or lapse.
Renters insurance can provide an additional layer of protection for certain covered losses involving resident negligence or an animal incident, but coverage depends on the individual policy, exclusions, animal history and circumstances. It does not replace the owner's property or liability insurance, and it is not a guarantee that every claim will be covered.
Animal Review and Practical Risk
We do not make decisions from a slogan or assumption about an animal. Household-pet decisions may consider the available behavioral history, disclosed information, property suitability, owner direction and applicable insurance requirements. An owner should tell Preferred Homes during onboarding about any animal-related restriction or condition in the owner's insurance policy.
Preferred Homes does not currently require a third-party profile for every ordinary household pet. Animal information is reviewed as part of the leasing process, and any exception is considered case by case. No animal decision should be described as eliminating all risk.
Service Animals and Emotional Support Animals
Service animals and emotional support animals are not processed as ordinary household pets. A resident or applicant requesting a disability-related animal accommodation is directed through the applicable review process, which may include PetScreening.com as a third-party documentation and accommodation-review service. PetScreening provides its recommendation to Preferred Homes; Preferred Homes remains responsible for the housing decision.
We evaluate requests individually under applicable federal, Florida and local requirements. We do not charge the $500 household-pet fee for an animal approved as a required reasonable accommodation, and we do not require disclosure of a specific medical diagnosis. When documentation may lawfully be requested, the review is limited to reliable information relevant to the disability-related need for the accommodation.
An approved assistance animal remains subject to lawful conduct, care and property-protection requirements. The resident remains responsible for damage caused by the animal to the extent permitted by applicable requirements. Because assistance-animal law and agency guidance can change, individual requests are evaluated using the requirements in effect at the time rather than a blanket website rule.
Why This Balance Matters
A responsible pet policy can expand the qualified applicant pool without abandoning property protection. Our approach combines owner input, clear lease terms, a household-pet fee, renters-insurance monitoring, condition documentation and individualized handling of disability-related accommodation requests.
Pet-friendly does not mean unprotected. It means considering qualified residents with animals while documenting expectations and addressing risk responsibly.

- Major-project oversight — 10% of total project value, including labor and materials, when separately accepted and authorized. This service is outside standard ongoing management.
Fees We Do Not Add
- No monthly management fee during vacancy
- No maintenance-call fee
- No repair or contractor markup
- No required owner reserve
- No separate lease-preparation fee

- No cancellation penalty from Preferred Homes; termination remains subject to the notice and other terms of the signed management agreement
Our service is for owners who value hands-on administration, detailed documentation, prompt communication, transparent expenses and consistent procedures — not simply the lowest advertised percentage.
Is Preferred Homes the Right Fit?
Preferred Homes is selective because effective management depends on the right property, clear expectations and an owner who values professional systems. We are built for owners who want hands-on management, transparent expenses and consistent procedures—not a passive rent-collection service.
Properties We Serve
We consider single-family homes, condominiums, villas, townhomes, duplexes, small multifamily properties and select commercial properties. We do not offer short-term or vacation-rental management. We may also assume management of an occupied property with an existing tenant and lease, subject to file review, property condition and a $300 existing-tenant onboarding fee.
Before Marketing or Onboarding
- The property must be safe, habitable and reasonably clean
- Essential systems, utilities and included appliances must operate properly
- Active leaks and known safety issues must be corrected
- Open permits and unresolved code violations must be resolved
- Insect or vermin infestations must be professionally addressed
- The interior, exterior and lawn must be reasonably maintained
- Smoke alarms and other required safety devices must be operational
Properties that are initially not ready may still qualify after the owner completes recommended repairs or preparation. Every potential assignment is evaluated individually based on condition, location, existing occupancy, showing logistics and requested services.
Our Best Owner Relationships
Our best relationships are with owners who value professional delegation, timely maintenance, documented screening, clear lease expectations and practical decision-making. We welcome owner input, but routine day-to-day co-management, owner-performed maintenance that disrupts our process, repeated exceptions to screening standards or attempts to negotiate established fees are not a fit for our management model.
We may decline an assignment when an owner intends to co-manage daily operations, bypass established procedures, perform routine maintenance in a way that interferes with timely service, impose screening requirements that conflict with our consistently applied standards, leave serious deferred maintenance unresolved or seek to renegotiate established fees. An owner-recommended vendor may still be considered case by case when that vendor offers dependable service, appropriate qualifications and good value.
This is not about excluding owners who ask questions or want information. We welcome informed owners and provide detailed reporting. It is about maintaining clear authority, accountability and consistent procedures so the resident receives dependable service and the property is managed responsibly.
Complimentary Rent-Readiness Consultation
We are happy to meet at the property, discuss its condition and provide practical recommendations before you commit. There is no pressure and no obligation.
